Platform Privacy Notice

1. Scope

This notice applies to account, profile, file-sharing, notification, and activity information processed through this authenticated Thomson Data workspace. The public Thomson Data Privacy Policy remains the primary website privacy statement.

2. Information we collect

Depending on how you use the workspace, information may include your name, business email, company and profile details, account credentials in protected form, files and folders you upload, recipient email addresses, sharing permissions, messages or notes, and activity records such as uploads, previews, downloads, and sharing events.

Technical information may also be generated when the service is used, including session data, browser or device information, IP-related logs, timestamps, and security or diagnostic records. Cookies or similar session technologies may be used to keep you signed in and operate the service.

3. How we use information

Information is used to authenticate users, operate and secure the workspace, store and organize files, deliver sharing invitations and service emails, show account and activity status, provide support, troubleshoot issues, prevent misuse, and comply with legal obligations.

Where Thomson Data uses contact information for website communications or marketing, the choices described in the public Privacy Policy also apply.

4. Sharing and disclosure

Files and related information may be made available to recipients selected by authorized workspace users. Information may also be processed by service providers that support hosting, email delivery, security, or other operational functions, subject to appropriate obligations.

Information may be disclosed when you authorize it, when disclosure is required by law or a valid legal process, or when reasonably necessary to protect users, Thomson Data, or the integrity of the service. Thomson Data does not treat private workspace content as public information.

5. Security

Thomson Data uses reasonable administrative and technical safeguards intended to reduce unauthorized access, loss, misuse, or alteration of information. Users should keep passwords and account access confidential and should share files only with intended recipients. No internet-connected service can guarantee absolute security.

6. Retention

Information is retained for as long as reasonably needed to provide the service, maintain business and security records, resolve disputes, enforce agreements, satisfy legal requirements, or complete a requested transaction. Backup or audit copies may persist for a limited period after deletion.

7. Privacy choices and rights

You may request access to, correction of, or deletion of eligible personal information, subject to legal, security, transaction, and record-retention exceptions. California residents and individuals covered by applicable GDPR requirements may have additional access, disclosure, deletion, objection, or opt-out rights.

8. Children

Thomson Data’s public policy states that it does not conduct business with minors under 18. This workspace is intended for authorized business users and is not designed for children.

9. Changes to this notice

This notice may be updated as the workspace, legal requirements, or Thomson Data practices change. Material updates should be reflected in the platform or the public Thomson Data Privacy Policy.
